2027 CES Project Planning Timeline

A planning reference for Asia-Pacific brands preparing for CES 2027

This guide is written mainly from the perspective of exhibitors from China and the Asia-Pacific region. For these brands, CES preparation often involves cross-border design coordination, China-based production, international shipping, customs clearance, Freeman warehouse deadlines, and local U.S. on-site execution.

1. Project Kickoff & Design Phase

Recommended Timing: May – June 2026

For Asia-Pacific exhibitors, CES projects should ideally begin in May or June 2026. If the booth involves interactive installations, integrated display systems, customized technology demonstrations, or one-piece hardware devices, technical planning should begin even earlier.

Once the project requirements are confirmed, the initial design proposal can usually be prepared within approximately 7–10 working days.

At this stage, the most important task is not only to design a booth, but to clarify what the brand wants to communicate at CES: product launch, retail channel development, media visibility, partner meetings, technology storytelling, or global market positioning.

2. Contract & Construction Drawing Confirmation

Recommended Timing: Late August – Mid September 2026

Contract confirmation is recommended by late August or early September 2026, with final construction drawings ideally confirmed by mid-September.

This timing allows enough room for engineering review, material confirmation, graphic planning, production scheduling, and logistics preparation.

For many international exhibition projects, payment terms are commonly structured as 70%-80% advance payment after contract confirmation and 20%-30% final payment after booth completion and acceptance.

3. Production & Pre-Build Arrangement

Recommended Timing: Late September – October 2026

Production should generally be released in late September. For Asia-Pacific clients using China-based production, this stage is critical because the booth materials need to be completed early enough for pre-build inspection, packing, customs preparation, and ocean freight.

Televisions, furniture, and general booth equipment can often be integrated into the overall construction scope and shipped together with booth materials, unless special rental or technical requirements apply.

A factory pre-build inspection before shipment is strongly recommended to verify structure, safety, finishing quality, lighting, graphics, and installation logic before materials leave Asia.

4. Logistics & Freeman Warehouse Timeline

Recommended Timing: Late October – Mid December 2026

Booth materials are recommended to depart from China between late October and early November 2026. Freeman warehouse receiving is expected to begin around November 10, 2026.

For ocean freight from Asia, customs clearance and warehouse delivery should ideally be completed by mid-December.

All booth materials should be planned to arrive at the Freeman warehouse no later than the estimated warehouse deadline of December 17, 2026, in order to avoid late delivery penalties or additional handling risks.

Client-owned electronic devices, all-in-one interactive units, prototypes, or sensitive technology equipment should not be mixed casually with structural booth materials. Separate sea freight or air freight planning may be required to reduce customs and installation risks.

5. Graphics & Official Service Applications

Recommended Timing: October 2026

Graphic production is recommended to begin in early October 2026, especially for large-format prints, backlit graphics, LED content preparation, and bilingual display materials.

Official services such as electrical applications, internet, material handling, cleaning, rigging, and labor scheduling should follow the exhibitor manual and official service deadlines.

Early-bird application deadlines usually provide cost advantages. Since the CES 2027 exhibitor manual may not yet be released at the early planning stage, these deadlines should be updated once the official manual becomes available.

6. On-Site Installation & Dismantling

Estimated Timing: December 29, 2026 – January 9, 2027

On-site move-in is expected to begin around December 29, 2026 at 08:00, subject to official schedule confirmation.

Booth installation and final inspection should ideally be completed before January 5, 2027, allowing enough time for product placement, AV testing, lighting adjustment, cleaning, and final client review.

Dismantling is expected to begin after 17:00 on January 9, 2027. Because CES dismantling is highly compressed, return logistics and product handling should be planned before the show opens.

7. Resource Pressure & Risk Considerations

Key Notes for Asia-Pacific Exhibitors

CES is one of the busiest exhibition periods in Las Vegas. High-quality suppliers, labor teams, logistics providers, and technical partners are usually booked early.

For Asia-Pacific brands, the main risks are often not only design-related, but also cross-border timeline pressure, shipping uncertainty, customs clearance, U.S. on-site labor availability, technical equipment handling, and late-stage decision changes.

The earlier the project starts, the easier it is to secure reliable resources, control cost, reduce on-site uncertainty, and protect the final brand presentation.
